TL;DR
Your domain is your digital address, hosting is your building, email is your mailbox. Get the right set-up, keep it safe, and build a support team so you can focus on what matters most—your patients or clients.
Intro
When you’re starting or growing your therapy practice online, the tech terms can feel overwhelming. Domain. Hosting. Email. What does it all mean, and where do you even begin?
Your email, CRM (Client Relationship Management system for tracking leads and clients), website, client portal, and booking system can all connect to your domain. This not only strengthens your security, it also creates a clear and consistent image for clients.
Let’s break it down in simple terms, so you feel confident making smart choices for your practice.
What is a Domain?
Think of a domain as your clinic’s street address on the internet.
- If your practice is called ABC Counselling, your domain could be abccounselling.ca.
- If your practice is called Bright Path Counselling, your domain might be brightpathcounselling.ca.
It’s the name people type into their browser to find you.
Where Do You Buy a Domain?
Very important: you don’t own a domain forever—you rent it. You pay a yearly fee to keep the rights to your name. If you stop paying, you lose it and someone else can register it.
Domains are purchased through registrars (like the land registry of the internet). The most famous worldwide is GoDaddy, and in Canada, a trusted choice is Hover.
How to Choose a Good Name
Naming in marketing is powerful. The name you choose for your domain isn’t just technical—it’s part of your branding strategy. The right name can influence client perception, open new opportunities, or even protect the identity of your flagship programs.
For example, if your clinic has a treatment program called “GrownUp Community,” you may want to secure grownupcommunity.ca to use in your marketing. The world of domains is wide and sometimes surprising—you can even find creative extensions like .clinic.
Try typing justdoit.com and you’ll see exactly where it leads you. You get the point: your domain can be more than just a name—it’s a branding asset.
Tips for choosing your domain:
- Simple – easy to spell and remember.
- Relevant – ideally matches your practice or clinic name.
- Future-proof – don’t limit yourself with “PortMoodyTherapist2024.com” if you plan to expand.
.com or .ca (or your own extension)?
We are in Canada, and here we have a strong local culture that I really enjoy being part of. Personally, I’d always use—or at least strongly consider—.ca as the first option. It signals trust and connection with our communities.
That said, the culture around .com still reflects an international brand message. For local therapists, I’d recommend leaning towards .ca, while keeping .com in mind if you plan to grow beyond Canada or offer digital programs internationally.
Other country extensions (.uk, .au) or creative ones like .clinic can also be useful depending on your vision.
Most therapists in Canada do well with .ca for local trust and .com if they want broader reach.
Domain, Email, and Hosting – What’s the Difference?
Here’s where many therapists get lost. Think of it like setting up an office:
- Domain = your clinic’s address.
- Email provider = your mailbox. (e.g., hello@abccounselling.ca)
- Hosting = the building where your office (website) lives.
Without hosting, your domain is just an empty address. Without a domain, your website is like an office with no address—nobody can find it.
Choosing an Email Provider
Even if your domain registrar offers free email, consider a professional provider:
- Google Workspace (Gmail) – reliable, integrates with calendars and drive.
- Microsoft 365 Outlook – excellent security and business tools.
Professional email = professionalism and trust. Clients feel more secure receiving an email from info@yourclinic.ca than from therapist123@gmail.com.
So Where Does the Website Actually “Live”?
Your website files sit on a server provided by your hosting company. This could be:
- An all-in-one platform like Squarespace, Wix, or WordPress.com (easy for beginners).
- A custom WordPress site hosted with providers like Flywheel, SiteGround or Bluehost (more control, but more responsibility).
Keeping Everything Safe
Your online presence is like your clinic: it needs locks on the doors.
- Keep all domains together – Manage your domains in one place so renewals, updates, and security settings don’t get lost.
- Limit access – Only give logins to people you fully trust. The fewer hands on your systems, the safer they are.
- Use strong passwords and MFA – Multi-factor authentication (MFA) adds an extra layer of protection, just like locking both the clinic door and the filing cabinet.
A secure setup means less risk of breaches—and more trust from the people you serve.
Create a Support Team
You don’t need to do it alone. A trusted web designer or agency can help you register domains, set up hosting, and manage everything so you stay focused on your clients.
At KIAI, we’ve built systems that keep therapists’ sites running smoothly, so they don’t feel like they’re “driving with a flat tire” every time something goes wrong.
All-in-One Platforms (Domain + Website Together)
Platforms like Wix and Squarespace let you buy your domain and build your website all in one place.
Advantages:
- Very convenient for beginners.
- One bill, one login, and built-in support.
- No need to worry about connecting domain, hosting, and email.
Downsides:
- You can still use the domain separately (without the website), but migrations are very tricky.
- You may miss some advanced functionalities (it happened maybe twice in 10 years—so very rare).
Overall: All-in-one platforms are a great starting point. If you’re just launching your practice and want something simple and stress-free, they’re often the best choice. Later, when your clinic grows, you can always upgrade to a more flexible setup.
